https://www.climateweek.gov.wales is managed by the Freshwater, on behalf of Welsh Government henceforth referred to as 'We'. In entering our site you the user ('You') are accepting our Terms and Conditions. The Wales Climate Week event platform is maintained for your personal use and viewing. Access and use by you of this site constitutes acceptance by you of these Terms and Conditions, which take effect from the date of first use.

The Welsh Government is the Data Controller and Freshwater (FW) are the Data Processor for information submitted via the Wales Climate Week website, along with any information shared or recordings made during the associated event programme. Welsh Government and FW are committed to protecting the rights of individuals in line with UK General Data Protection Regulation (UK GDPR).  Welsh Government’s Data Protection officer can be contacted via email at DataProtectionOfficer@gov.wales.

Hyperlinking

We do not object to you linking directly to the information that is hosted on our site. However, we do not permit our pages to be loaded into frames on your site. The Wales Climate Week event platform pages should load into the user's entire window.

If web portal owners wish to include The Wales Climate Week event platform pages within a portal site, then please contact walesclimateweek@freshwater.co.uk. Please include your contact details name, address, telephone number, fax number and e-mail and a description of your portal site.

 

User registration

To register for Wales Climate Week events, you are required to register on the event platform.

 

What information do we collect about you?

The information required in order to register for a Welsh Government event may include your name, email address, a chosen location and the name of your organisation (if applicable). We will only use this information in order to contact you about the event(s) you have registered for.

 

How will your information be used?

• Optimising the Wales Climate Week website 

• Monitoring levels of registrations to event(s).

• Monitoring which organisations are accessing the Wales Climate Week Promotional Toolkit​

• If you are submitting a Climate Conversation event application or virtual panel session application, the details will be reviewed by Freshwater and Welsh Government to determine the applications suitability and Freshwater will contact you about this

• If you complete the Wales Climate Week survey, the data will be provided for Welsh Government for them to review

• Sending reminder emails and a post event survey email to people who have registered for the Wales Climate Week event. If you wish to opt out of these email reminders, please contact walesclimateweek@freshwater.co.uk.

Who receives your information?

Freshwater is the main data processor for data collected through Wales Climate Week event website. We also use third party processors and, as such, may share your information with them. The processing of this information will be in line with the third parties’ privacy policy. The third-party processors we use are as follows:

• Welsh Government, as the project owner, will have access to all data collected and processed as part of this project.

• Eventscase for hosting the Wales Climate Week online platform, managing webinar and workshop registrations and recording chat room content. All-in-one event management software (eventscase.com)

• Mandrilla/Mail Chimp is used as a sub-processor by Eventscase for the administration of pre and post event mailings.  General Data Protection Regulation (GDPR) Compliance: Get GDPR Consent for Marketing | Mailchimp

• Google analytics to assist us in the improvement and optimisation of the web site.

• Smart Surveys is used to collect data for programme submissions and Climate Conversation applications. Smart Surveys provides a secure and convenient way to submit data to us. Your use of Smart Surveys is subject to both our terms and conditions and their privacy policy.

The Eventscase website uses cookies to collect anonymous information about visitor behaviours.

Cookies are small bits of information that are stored on your computer by websites. These are typically used by websites to remember preferences, or to provide more targeted and relevant advertising based on online behaviours.

When someone visits the Wales Climate Week event website, we use a third-party service, Google Analytics, to collect standard site visit information via cookies. We do this to find out general behavioural patterns, such as the number of visitors to various parts of the site. This information is only processed in a non-personally identifiable way.
